Ypsilanti Meals on Wheels

Position Summary: Enthusiastic commitment to the Ypsilanti Meals on Wheels (YMOW) mission
and strategic direction. Efficiently and effectively managing day-to-day operations, including
implementation of policies and maximizing the potential of human and physical asset resources.
Utilize effective communication strategies in written and oral form, to empower employees and
provide constructive feedback as needed.
Job Requirements: Strong organizational experience, ideally within a management role for 5+ years
with experience involving teams, customer service, and collaborative work. Demonstrated experience
working with diverse clients and teams a plus. Candidate should be able to anticipate and track
operational and tactical risks and make recommendations for strategic solutions. This job also
requires strong attention to detail, problem solving, and familiarity with MS Office suite, Adobe and
Databases.

The primary duties and responsibilities of this full-time position include:

Daily Planning, Operations, and Staff Management
● Provide day-to-day leadership and promote a collaborative work environment for Client Care
Associates (CCA), Office Manager, Social Worker, Communications Specialist, and Volunteer
Coordinator
● Demonstrate the ability to take initiative and be adaptable to change
● Coordinate, manage and monitor the workings of the operations team while balancing the
responsibilities of various business lines such as volunteer management oversight and risk
management
● Provide leadership of day-to-day MOW administrative and service operations (including
scheduling of CCAs and collaboration with the YMOW Office Manager)
● Provide HR management and maintain appropriate standard operation procedures (SOP’s),
encouraging positive staff morale
● Collaborate with transitions and onboarding of new staff as needed
● Raise and tracks issues and conflicts, remove barriers to high-quality service delivery
● Resolve issues of various complexity involving clients and staff, escalating to appropriate level
when required
● Stay up to date on evolving Aging and Adult Services Agency (AASA), and the Office of
Community and Economic Development (OCED) policies, procedures, and standards
● Oversee and report daily, weekly, monthly, quarterly, and annual metrics for various funders
● Identify trends and assess opportunities to improve processes and execution
● Participate in agency grant writing and philanthropic donation procurement efforts as needed
● Produce ad hoc reports as assigned
● Present relevant programmatic and operational reports to the ED and BOD
● Provide volunteer management oversight as lead and support Volunteer Coordinator
● Provide guidance as a liaison to OCED, Barrier Busters, and other funders and stakeholders
● Coordinate interagency communication to resolve client concerns/needs with YMOW Social
Worker
● Oversee Michigan Medicine meals contract and serve as liaison for kitchen staff, reviewing
menus, concerns, and other food procurement activities
● Maintain positive collaboration with Michigan Medicine, Mom’s meals, and other Washtenaw
County meals service providers (e.g. senior center)
● Other duties as assigned

Information Technology
● IT/Technology support liaison to Ypsi TechWorks,
● Serve as ServTracker Administrator, providing oversight, staff training, onsite technical support,
maintenance, and liaison to Accessible Solutions
● Run demographic and service level reports, tracking outcomes and service units to meet
contractual obligations required or requested by stakeholders including AASA and OCED
● Develop and implement data clean-up process
● Provide graphic design/branding leadership to Communications Coordinator for outreach
materials, social media posts, and other promotional materials
Facilities management
● Fleet management, including ensuring YMOW vehicles are properly maintained and cleaned on a
schedule
● Maintain service records and operability of in-office equipment, including washer and dryer,
copier, and other machinery necessary for daily meals operations
● Assist with the workflow and schedule for kitchen development/buildout
● Assist with monitoring all contractors for kitchen and vehicle service
● Assist with building security, storage, cleaning, repair of coolers, and other meal delivery
equipment, etc.

Minimum Qualifications:
● At least 5 years of work experience leading/managing a team as a “working manager” or
human resources professional
● Bachelor’s degree in business, nonprofit management or social services required
● Volunteer or professional experience working with older adults
● Strong attention to detail
● Speech clarity, legible handwriting, and good oral articulation
● Reliable transportation
● Ability to work within a collaborative team
● Accept accountability and responsibility for own professional growth and development

Reports to: YMOW Executive Director
Additional information: Compensation is commensurate with experience. Employee benefits,
covered completely by YMOW to include: healthcare benefits, dental, short-term and long-term
disability coverage. Additional benefits including: 403B with up to 3% matching, stipend for cellphone,
paid holidays, and vacation time.
